1. Purpose of Processing Personal Information
The Secretariat processes personal information for the following purposes:
- Application and management of SIMTOS exhibitors
- Visitor pre-registration and access management
- Application and operation of conferences and related programs
- Payment and settlement of participation fees and paid programs
- Exhibition operation and provision of related information
- Provision of newsletters and information on future SIMTOS exhibitions
- Handling inquiries and complaints
- Exhibition statistics and service improvement
Personal information will not be used for purposes other than those stated above. If the purpose of use changes, the Secretariat will take the necessary measures in accordance with applicable laws and regulations.
2. Personal Information We Process
Depending on the service, the Secretariat may process the following personal information:
- Name and company or organization name
- Department and job title
- E-mail address, mobile phone number and company telephone number
- Address, country and region
- Industry, products of interest and other exhibition-related information
- Application, payment and settlement information
- Website access records, IP address, cookies and other service usage information
Specific items collected and whether each item is mandatory or optional will be separately provided on the applicable application or registration page.
3. Retention Period of Personal Information
As a general rule, personal information is retained and used for five (5) years from the date of consent to collection and use.
However, where applicable laws require information to be retained for a certain period, such information will be retained for the period prescribed by law. If a separate retention period is specified for an individual service, that period will apply.
Personal information will be destroyed without delay when the retention period expires or the purpose of processing has been achieved.
4. Provision of Personal Information to Third Parties
As a general rule, the Secretariat does not provide personal information to third parties without the consent of the data subject.
However, personal information may be provided with the consent of the data subject or in accordance with applicable laws and regulations where necessary for the operation of the exhibition.

| Conference Organizers | Where the data subject has agreed to participate in the relevant conference and to share information through conference registration or an equivalent consent procedure. |

5. Outsourcing of Personal Information Processing
The Secretariat may outsource certain personal information processing activities to specialized external service providers to facilitate the efficient operation of the exhibition.
Major outsourced activities include:
- Operation of the website and exhibitor/visitor registration systems
- Visitor registration and access management
- Electronic business cards and visitor data management
- E-mail and SMS distribution
- Surveys and event operations
Any changes to service providers or outsourced activities will be disclosed through this Privacy Policy.
6. Destruction of Personal Information
Personal information will be destroyed without delay when the retention period expires or the purpose of processing has been achieved.
Electronic files will be permanently deleted using methods that prevent recovery, and paper documents will be shredded or incinerated.
7. Rights of Data Subjects
Data subjects may request access to, correction or deletion of their personal information, suspension of processing, or withdrawal of consent.
Such requests may be submitted to the SIMTOS Secretariat or the department responsible for personal information protection, and the Secretariat will take necessary measures in accordance with applicable laws.

The Secretariat implements appropriate safeguards to protect personal information, including access authorization management, access control for personal information systems, management of access logs, operation of security programs, and management of personnel handling personal information.
9. Use of Cookies
The website may use cookies to improve user convenience and analyze website usage.
Users may configure their web browser to refuse cookies. However, some services may be limited if cookies are disabled.
